1. Delegate Terms & Conditions

1.1 Cancellations & Refunds

  • All cancellation requests must be submitted in writing to the event organiser and are only applicable where the ticket has been paid in full.
  • Cancellations received more than 28 days before the event date will be eligible for a full refund, less 5% bank charges and a €10 administrative fee per ticket.
  • Cancellations received between 14 and 28 days before the event will be eligible for a 50% refund per ticket.
  • No refunds will be issued for cancellations received less than 14 days before the event, or for non-attendance.
  • Delegate substitutions are allowed up to 3 working days before the event at no extra cost, subject to written confirmation.

1.2 Liability

  • World Telemedia Ltd accepts no liability for personal injury, illness, loss, theft, or damage to personal propertyincurred during participation in the event, including travel to and from the venue.
  • Attendees are advised to take out their own travel, health, and personal insurance.

1.3 Changes to the Event

  • World Telemedia Ltd reserves the right to make changes to the event programme, speakers, schedule, venue, or format without prior notice.
  • In the event of a cancellation or postponement by the organiser, liability is limited to the refund of the ticket feewhere applicable. No responsibility is accepted for any other costs incurred by attendees.

1.4 Photography & Videography

  • By attending a World Telemedia event, delegates consent to being photographed, filmed, or recorded, and acknowledge that such media may be used by World Telemedia Ltd for promotional, editorial, or other business-related purposes.

2. Exhibitor & Sponsor Terms & Conditions

2.1 Booking & Payment

  • Participation is only confirmed upon receipt of a completed booking form and full payment.
  • All fees must be received and cleared prior to the start of the event. World Telemedia Ltd reserves the right to withhold access to the event in cases of unpaid or partially paid fees.

2.2 Cancellation & Postponement

  • Cancellation requests must be made in writing and will only be considered if full payment has been received at the time of cancellation.
  • If written cancellation is received more than 28 days prior to the event, Exhibitors/Sponsors may choose between:
    • A refund of the amount paid, less applicable bank charges, or
    • A one-time transfer of their package to a future World Telemedia event, subject to availability and management approval.
  • No refunds or transfers will be permitted if cancellation is made within 28 days of the event or if the fee has not been paid in full.
  • Should World Telemedia Ltd cancel or postpone the event, liability is limited to a refund of fees paid. No additional compensation will be provided.

2.3 Responsibilities

  • Exhibitors and Sponsors are solely responsible for:
    • The safety and security of their staff, materials, and property;
    • Obtaining all required permits, licences, and clearances;
    • Ensuring their participation complies with venue and legal requirements;
    • The setup and dismantling of their stand in accordance with official instructions.
  • Exhibitors/Sponsors indemnify and hold harmless World Telemedia Ltd, its directors, staff, and affiliates from any claims, losses, or liabilities arising from their participation in the event.

2.4 Insurance

  • Exhibitors and Sponsors must carry and maintain adequate public liability, employer’s liability, and property insurance for the full duration of their participation, including move-in and breakdown periods.

2.5 Force Majeure

  • Neither party shall be liable for any delay or failure to perform obligations under this agreement due to circumstances beyond their reasonable control, including but not limited to: natural disasters, acts of war or terrorism, strikes, labour disputes, pandemics, or government-imposed restrictions.
  • Failure to obtain travel visas, travel authorisations, or other entry requirements shall not constitute force majeure. It is the sole responsibility of the participant to ensure compliance with all entry and travel requirements.

2.6 Governing Law

  • These Terms and Conditions shall be governed by the laws of the host country:
    • Spanish law for events held in Spain;
    • UAE law for events held in the United Arab Emirates.
  • Any disputes shall be resolved under the exclusive jurisdiction of the courts in the respective host country.
